3. Prepare your reply templates

Respond Immediately

One of the simplest and highest-ROI habits you can build during a cold email campaign is replying to positive responses fast — ideally within the first five minutes. Data across multiple studies consistently shows that quick replies can boost conversions by 3-4x.

When you’re early in your business, you can’t afford to miss that window. Yes, it’s inconvenient. Yes, it means more notifications and interruptions. But early on, fast response time is a competitive advantage.

Using the App

The easiest way to stay on top of replies is to use the Instantly Unibox app or Smartlead mobile app.

Once logged in, turn on notifications so you’re alerted as soon as a prospect replies — and aim to respond within minutes.

This tiny discipline goes a long way toward increasing your booked calls and closed deals.

Inbox Management (Reply Templates)

There are 5 main reply scenarios we run into with cold email:

  1. "I'm interested"
  2. "Send more info"
  3. "Let's book a call"
  4. "I'm the wrong person, reach out to X"
  5. "Cost?"

90% of the time these will be the responses you get.

For the other 10% of the time, you will have to give a custom response.

  • “I’m interested”

Hey {{first_name}}, thanks for your interest!

For some more context, here's {{value}}. If you'd like to implement X for {{company_name}}, available on X or Y at Z {{timezone}}?

You may also book a call here: {{calendly}}

Let me know what works for you!

  • “Send more info”

Hey {{first_name}}, no problem.

So essentially, we do {{indepth breakdown of offer}}

For some more context, here's {{value}}/{{site}}/{{casestudy}}.

If you'd be interested in learning more, available on X or Y at Z {{timezone}} to discuss further?

{{calendly}}

Let me know & we'll go from there.

  • “Let’s book a call”

Hey {{first_name}}, sounds great.

Available on X or Y at Z time?

Also, feel free to book a time here as well: {{calendly}}

Looking forward to speaking with you!

If Meeting Request Ghosted:

Hey {{first_name}}, placed a few minutes on {{3-4 days out}} for us to discuss X.

If you can’t make it, no worries.

Just wanted to get some time on the calendar as you said you’re interested in speaking.

Let me know if you’d like to reschedule, otherwise speak then.

  • “I am the wrong person, reach out to X”

"Hey {{first_name}}, {{first_contact}} told me to contact you regarding X.

Just a quick intro, {{info}}

{{previous email body}}

{{CTA}}

You may book a call here if you’d like to discuss further: {{calendly}}"

  • “Cost?”

Hey {{first_name}}, pricing varies - but we typically do X.

Can't give you a specific number since it depends on Y.

We can speak for 7-9 minutes about this briefly if you wouldn't be opposed to it.

If you're open to it I'll send over an invite, if not no worries.

Automated Subsequences

There are 4 main Subsequences we'll use for follow-up:

  1. Interested sequence

  2. Meeting Request sequence

  3. Out of Office sequence

  4. Pre-Call sequence Each can be automated within Smartlead (in the Subsequence section) & Calendly.

“Interested sequence”

2 days later - Follow-up 1:

"Let me know your thoughts on the previous email {{first_name}}."

4 days later - Follow-up 2:

"Hey {{first_name}}, circling back with a case study: {{Link}}

Would love to give more insight on the X strategy we’ve used to generate Y for the Z companies we’ve worked with. Book a call here if you’d like to learn more: {{calendly}}"

7 days later - Follow-up 3:

"Hey {{first_name}}, About a week ago you said you were interested in X strategy. Has that changed?

We can dive much further over a call if that interests you, no worries if not.

Let me know and I’ll send over a calendar invite."

“Meeting Request”

2 days Follow-up 1:

"Let me know if those times work for you or not, you can also send me a few times that work well for you if you’d like to.

Here’s my calendar link again if booking in here would be easier: {{calendly}}"

4 days Follow-up 2:

"Hey {{first_name}}, Circling back with a case study for you before our call: {{Link}}

We will dive deeper into X strategy we’ve used to generate Y for the Z companies we’ve worked with. Would X or Y at Z time may work better for you?"

7 days Follow-up 3:

"Hey {{first_name}}, Last week you said you were interested in speaking further on X. Has that changed?

We’ll dive much further over a call if that still interests you. Send over times that work best for you if you’re still interested."

The “Meeting Request” subsequence is very similar to the “Interested” subsequence, only thing that’s really changed is the intent since the prospect has stated that they are interested in a meeting.

Again, just want to hit them with more value and meeting CTAs.

“Out of Office”

For the “Out of Office” Subsequence, really all you need to do is essentially copy-paste your main cold email campaign sequence, but just add a 14-21 day delay on the lead receiving new emails.

Then from there, what I do is just change the one-liner of the first email in the sequence to something along the lines of:

"Hey {{first_name}}, saw that you were back in office - tried reaching out a few weeks ago."

Adds a layer of personalization, most people don’t do this.
