1. Create Upwork application template

Now that your Upwork profile is ready, it’s time to build your application template — a reusable proposal you’ll slightly adapt for each project.

The goal isn’t to spam generic messages. It’s to make applying fast, consistent, and personal — with a short, custom video that instantly sets you apart.

This approach works because it’s efficient and human. Here’s why it wins:

Shows proof instantly. A short screen-recorded video demonstrates your thinking and skills better than any text ever could.

Builds confidence. Repeating your pitch on video will naturally sharpen how you talk about automations and results — it’s the best sales practice you can get.

Makes you stand out. Almost no one on Upwork records a video. By doing it, you’ll immediately land in the top few percent of applicants.

Step 1: Your Application Copy

When you apply for a project on Upwork, you’ll be asked for your rate, availability, and a short cover letter.

This is where most people lose the client — they write long, generic paragraphs no one reads.

Your version will do the opposite: short, confident, results-focused, and designed to grab attention fast.

Remember: clients only see the first ~150 characters in the preview:

That’s your hook, your "elevator pitch".

Use that space to show three things immediately:

  1. You’re the right person.
  2. You’ve already gone the extra mile (recording a video).
  3. You’ve achieved something real.

🧩 The Winning Formula

  1. Confident Intro – Start strong and show certainty. → Example: “I’m 100% sure I can help you automate [process].”
  2. Video Link – Immediately drop your short Loom video. → This proves you took time for them and already thought through their project.
  3. Social Proof & Experience – Share 1–2 quick results or credentials. → Numbers, company types, or recognizable tools (like n8n, Make.com, OpenAI).
  4. Soft Call to Action – End with an open, friendly next step. → Example: “Would love to jump on a short call to explore your use case.”

Now, let’s look at a few ready-to-use examples you can model your own after:

Example 1

Hi — 100% sure I can help you automate [specific process, e.g., lead management or client onboarding].

Just recorded a quick 2-minute video showing exactly how I’d approach it → [Loom link]

I’ve built over 40 custom AI and automation systems for clients in the US, EU, and Australia — using n8n, Make.com, and Custom code.

A little about me: new to Upwork, but I run Bosar Agency, where we build AI chatbots, voice agents and automation workflows, and I also teach 27,500+ people about AI automation on my YouTube channel (search @bo-sar).

If this sounds aligned, I’d love to jump on a quick call to explore your use case.

**Example 2 **

Hello — confident I can help with your [project name].

I actually recorded a short video (2-min) walking through how I’d build your system → [Loom link]

About me: new to Upwork, but I’ve been running my AI automation agency for 2 years, and my team and I specialize in blending code and no-code tools like n8n and Make.com.

**Example 3 **

Hi [Client Name] — I can help with [project].

I recorded a quick 2-min video showing exactly how I’d do it → [Loom link]

I’ve built 40+ AI and automation systems (n8n, Make.com, OpenAI), helping businesses save hundreds of hours and scale operations.

Let’s connect — I can deliver this fast and with a 100% satisfaction guarantee.

Notice the pattern:
Start strong, reference your video immediately, and back it up with credibility.
If you don’t yet have Upwork reviews, just be transparent — mention that you’re new to the platform but have strong experience elsewhere. Clients appreciate honesty.

“I’m new to Upwork, but I’ve already built automations for [company types or industries]. Excited to get some hands-on projects here.”

Save this text in a note or document so you can reuse and tweak it easily.

Step 2: Record a Short, Personalized Video

This is the step that will make you stand out from 95% of freelancers on the platform.

The goal is simple: show that you understand their problem, that you’ve solved similar ones before, and that you’re easy to communicate with.

🎥 The 5-Part Video Formula

  1. Tailored Intro Open with confidence and show you’re the person they’re looking for. Example: “Hey [Name], I don’t usually record videos for every proposal, but your project caught my attention — it’s exactly what I’ve been doing for the past two years.”
  2. Keep their project open on the screen Share your screen and walk through their job post (or website/LinkedIn if mentioned).
  3. Show Your Thinking & Add Value Explain briefly how you’d approach their problem. If you can, outline a few quick steps or even mock up part of the solution. The goal isn’t to do the work for free — it’s to show that you think like a pro and spot things they might have missed (because you have experience, you've done similar things before).
  4. Reinforce Social Proof Naturally While you explain your approach, drop quick mentions of past wins. Example: “I used a similar setup for a UK-based agency and helped them save 20+ hours a week.” Keep it subtle — the goal is to sound experienced, not salesy.
  5. Confident Close Wrap up by restating your value and opening the door for a chat (act as if it was a closed deal already) Example: “I normally build long-term partnerships with my clients, keeping their systems running and scaling. Just reply to this message and we’ll hop on a quick call to get started.”

⚡ Practical Tips

  • Don’t overthink it. Focus on efficiency, not perfection. The goal is volume with quality — a few solid applications a day will always beat one “perfect” video per week. The video doesn’t need to be perfect — it just needs to feel real.
  • Keep it short. 2–3 minutes is the sweet spot.
  • Good lighting and sound matter more than fancy editing.
  • Use ChatGPT Atlas to a) understand the problem, b) brainstorm your high-level solution and talking points before recording.

Step 3: Manage Connects & Boosting

Upwork uses a credit system called Connects to apply for jobs — each Connect costs about $0.15.

Most projects require 10–15 Connects (roughly $1.50–$2.00), so it’s worth making every application count.

Even if it adds up, remember — closing just one $300–$2,000 client easily covers dozens of applications. It’s a small investment for one of the most cost-effective client acquisition channels out there.

And that’s why we focus on quality, personalization, and including your video — to get the highest return on each one.

You can also boost your proposal by bidding extra Connects to show up near the top of the client’s list.

The best part? You only pay if the client actually views your proposal or messages you — making boosting a high-ROI move.

Here’s how clients see the list of proposals — and when there are 50+ submissions, boosting really pays off. Showing up in the top 1–4 spots dramatically increases your visibility and response rate:

Step 4: Stay Online and Ready

Enable “Online for Messages” in your profile and keep Upwork open in a browser tab.

Speed matters — clients often contact several freelancers and usually hire the first one who replies.

Being quick to respond (ideally within a few minutes) can be the difference between losing and landing a project.

Many deals close the same day simply because the freelancer was available and responsive.

You can also activate the “Available Now” badge (costs about 14 Connects per week).

Top performers use it to signal they’re actively taking new projects.

That said, the green “Online” dot still carries more weight in practice — it shows you’re actually there.

Ideally, have both active to maximize visibility and response rates.

💡 Pro tip: Use the Upwork mobile app so you can reply instantly even when you’re away from your desk.

Step 5: Set Your Expectations Right

Even with great applications, results don’t happen overnight.

Statistically, it takes 20–50 well-crafted proposals to land your first client.

That might sound like a lot, but if you apply to just 5 jobs per day, that’s roughly 10 days — just over a week to your first win.

And once that first client comes in, every next one becomes easier.

Right now, your only goal is to land that first deal — that’s the bottleneck we’re breaking through.

So be patient, stay consistent, and trust the process.

If you follow this system step-by-step, it’s not a matter of if — it’s a matter of when.
