This workflow automatically creates fully branded and personalized PowerPoint sales decks by analyzing prospect requirements with AI and generating tailored presentations that are ready to present or send to clients.

What it does

  1. Slack Trigger: Watches a designated Slack channel for OneDrive links to prospect profile documents.
  2. URL Parsing: Extracts file IDs from OneDrive URLs using regex pattern matching.
  3. File Download & Extraction: Downloads company profile and sales prospect documents from OneDrive, then converts them from binary to text format.
  4. AI Slide Drafting (Slides 1-2): Uses OpenAI GPT-4 to generate customized presentation title, subtitle, and introduction based on prospect requirements.
  5. AI Slide Drafting (Slides 15-23): Generates nine detailed slides addressing specific prospect requirements and pushing discovery package as the call-to-action.
  6. PowerPoint Generation: Uses OpenAI Assistant with Code Interpreter to update the branded boilerplate PowerPoint presentation with AI-generated content while preserving all design and formatting.
  7. File Upload: Uploads the completed sales deck back to OneDrive.
  8. Slack Notification: Posts a message back to Slack with a direct link to the finished presentation.

How to set up

  1. Prepare Your Files in OneDrive:

    • Upload your boilerplate PowerPoint (with branded design and placeholder slides).
    • Create a company profile .txt file with your agency info, services, discovery phase details, and pricing.
    • Create prospect profile .txt files with company overview, RFQ details, email exchanges, and budget info.

  2. OpenAI Assistant Setup (Critical):

  3. Go to OpenAI playground → Assistants section.

  4. Create a new assistant named "PowerPoint Generator".

  5. Set instructions: "You are a helpful assistant who updates PowerPoint presentations."

  6. Set model to GPT-4o.

  7. Enable Code Interpreter tool.

  8. Upload your boilerplate PowerPoint presentation to the assistant.

  9. Copy the Assistant ID for use in Make.com.

  10. Slack Configuration:

  11. Update the channel ID (C07ET65PZK6) in both Watch Messages and Create Message modules to your designated Slack channel.

  12. Update Variables:

  13. In the Set Variables module, update companyProfileUrl with your OneDrive company profile file URL.

  14. The salesProspectUrl will be dynamically pulled from Slack messages.

  15. Configure OpenAI Modules:

  16. In Draft Slides 1 and 2 and Draft Slides 15 to 23 modules, customize the system prompts to match your agency's tone and value propositions.

  17. In Update Slides 1 and 2 module, select your PowerPoint Generator assistant and ensure Thread ID is empty.

  18. In Update Slides 15 to 23 module, select the same assistant and set Thread ID to reference the thread from the previous update module (so it works on the updated file).

  19. OneDrive Upload:

  20. In the Upload a File module, set the destination folder to your sales leads folder in OneDrive.

  21. Run the Workflow: Post a OneDrive link to your prospect profile file in the Slack channel, and the automation will generate and return your sales deck in about 1 minute!
